Vulken FM

Offline-first inspection software for field engineers and office teams — QR-linked assets, guided mobile checks, evidence capture and structured reporting in one system.

Vulken FM is a London facilities management company inspecting fire dampers and managing the resulting reports and asset records across commercial and residential properties. We designed and built the connected mobile and web platform that now carries their entire inspection workflow: engineers scan a QR code to pull up the right asset, run guided checks fully offline and capture required evidence — while office teams manage sites, users, inspection records and reports from a web dashboard.

The Challenge

Vulken's engineers move between sites, buildings and asset types, frequently in basements and plant rooms where mobile signal disappears. Paper forms and generic checklist apps kept losing the connection between field evidence, the correct asset history and the final client report. What the team needed: a field workflow that stays dead simple on site, yet preserves structured, reviewable inspection records for the office.

What the platform needed to do:

  • Walk engineers through the required inspection steps on site
  • Keep drafts, photos and progress alive when connectivity drops
  • Open the right asset and its inspection history straight from a QR code
  • Enforce the evidence and validation fields a complete record requires
  • Produce consistent reports for contractors, clients and internal teams
  • Change configurable inspection sections without shipping a new mobile app

The hard part: cut friction for the engineer without flattening a complex operational process into a rigid, disconnected checklist.

Solution Architecture

Field capture, administration and reporting became one connected system over shared asset and inspection data: the mobile app owns the work on site, the web dashboard owns oversight, configuration and report delivery.

1. Offline-First Mobile Inspection App

The React Native iOS app gives engineers a focused inspection workflow inside live buildings — including basements and plant areas with no reliable network.

  • Engineer login with assigned sites and inspections
  • QR scanning for direct access to the correct asset
  • Dynamic forms loaded from the current inspection schema
  • Conditional sections for different fire damper types
  • Required photo capture with location metadata
  • Autosave, offline queueing and deferred upload
  • Completion checks and engineer sign-off
Drafts, captured evidence and completion state survive a lost signal. Queued changes upload when connectivity returns — the field workflow never depends on a continuous connection.

2. Web Operations and Administration

The web dashboard gives office teams, contractors, clients and administrators each the right view of sites, assets, inspections and reports.

  • Site, building and asset management

Structured Reporting

Reports generate straight from the structured records captured during the inspection — nothing is retyped later from handwritten notes. The platform produces: • site-level PDF reports • asset-level inspection histories • generated observation and remedial text • photo evidence with metadata • clear inspection summaries and status indicators • CSV exports for operational analysis

Technical Architecture & Data Model

Technical architecture: • React Native + TypeScript for the field app • Next.js + React + TypeScript for the web dashboard • NestJS backend services • PostgreSQL for inspection, asset and schema data • S3-compatible storage for photos and media • JWT-based authentication and role-aware access control
The inspection schema is server-driven: protected standard sections lock in the core workflow, while configurable sections are versioned and published from the dashboard. Vulken evolves questions and reporting logic without a mobile release for every form change.

The product draws clear lines of responsibility: • the interface guides engineers through required steps without replacing their professional judgment • incomplete evidence and required fields surface before sign-off • every inspection stays linked to its asset, engineer and schema version • office teams control roles, templates and publishing from the dashboard • client and contractor reports draw on the same underlying inspection record

Outcome

Vulken now runs field inspections and office administration through one connected product. The team can: • run fire damper inspections from QR scan to engineer sign-off • keep working in low-connectivity environments • capture required evidence against the correct asset record • generate consistent reports for contractors and clients • manage sites, assets, users and inspection history from one dashboard • update configurable inspection logic without rebuilding the app
